Express Consent Policy Use of Voice, Image & LIkeness
The Participant hereby irrevocably grants the Wisconsin EMS Association (WEMSA) and it’s affiliates permission to use the Participant’s voice, image and likeness in any photograph, video, internet site, audio-recording, and in any and all of its publications, including website entries (collectively “Promotional Materials”) without payment or any other consideration. The Participant understands and agrees that these Promotional Materials will become the property of the Wisconsin EMS Association and will not be returned. The Participant hereby irrevocably authorizes the Wisconsin EMS Association to edit, alter, copy, exhibit, publish, adapt, perform, reproduce, modify, make derivative works, distribute or otherwise use the Participant’s voice, image or likeness for purposes of publicizing or promoting the Wisconsin EMS Association and/or the Conference and Expo. In addition, the Participant waives the right to inspect or approve the finished product, including written or electronic copy, wherein the Participant’s voice, image or likeness appears. Additionally, the Participant waives any right to royalties or other compensation arising or related to the use of the Promotional Materials. The Wisconsin EMS Association may exercise any of these rights itself or through any successors, transferees, licensees, distributors, assigns or other parties, commercial or Nonprofit.
Health & Safety
The health and safety of all visitors to our conferences remains our top priority. We remain current with local and venue health and safety guidelines and will adjust our approach as needed to ensure a safe environment for all conference participants.
Code of Conduct
The Wisconsin EMS Association (WEMSA) is committed to providing a professional, welcoming, safe, and respectful space during our in-person events, regardless of race, gender, sexual orientation, disability, ethnicity, religion, disability, and/or other differences. Our Attendees support equal responsibility for creating a safe and welcoming environment for participants.
Our Code of Conduct outlines what behavior is expected of Attendees, and what behaviors will not be tolerated. All Attendees at any WEMSA in-person event or function are expected to abide by this Code.

Fraudulent Misrepresentation
By registering for the WEMSA25 Conference & Expo, you affirm that all information provided is accurate and truthful. The use of another individual’s personal contact or membership information is considered fraudulent misrepresentation. Any such actions may result in immediate removal from the event premises. If discovered prior to the conference, WEMSA reserves the right to issue a full refund, minus a $10 penalty to cover staff costs and reimbursement fees.
WEMSA may, at its sole discretion and depending on the circumstances, allow the individual to correct the registration by becoming a member in order to retain the member discount and avoid the reimbursement penalty. This option will be evaluated on a case-by-case basis and must be resolved within a specified timeframe provided by WEMSA. Failure to resolve the issue may result in additional actions, including but not limited to, the issuance of the penalty and/or removal from the event.

Cancellation policy
All cancellations or refunds will be subjected to a 50% cancellation fee of the total canceled registration or the amount being refunded for changed registrations. Registration changes will be at the pricing based on the date of the registration or registration change. All cancellations and/ or refunds must be submitted in writing to wemsa@wisconsinems.com for processing. I understand and agree that no refunds will be provided after December 31, 2024.
Special needs & accomodations
WEMSA is committed to making its activities accessible to all individuals. If you have special needs as addressed by the American with Disabilities Act (ADA) and need accommodation, please email wemsa@wisconsinems.com. Please note that wheelchairs are not available at the conference venue for use. Please plan accordingly. The conference venue is fully ADA compliant.

Sessions
Sessions are subject to change. Seating is limited for all session rooms and is available on a first-come, first-served basis. Guests are prohibited from entering classrooms or exhibit halls. Any guests choosing to ignore this policy will be removed from the premise. No individual or entity may electronically record or broadcast any portion of WEMSA 2025 without prior written consent from WEMSA. Unauthorized recording (audio, video, still photography, etc.) of presentations during sessions without the express written consent of WEMSA is strictly prohibited. WEMSA reserves the rights to any approved audio and video production of presentations at all WEMSA events.

Definitions: The Wisconsin EMS Association is the owner of WEMSA 2025. WEMSA and WEMSA 2025 Conference & Expo are known collectively in this Statement as WEMSA 2025.
I agree and acknowledge that I am undertaking participation in WEMSA 2025 events and activities as my own free and intentional act, and I am fully aware that possible physical injury may occur to me as a result of my participation in these events. I give this acknowledgment freely and knowingly that I am, as a result, able to participate in WEMSA 2025 events, and I do hereby assume responsibility for my own well-being and safety.
WEMSA plans to take photographs and video material at WEMSA 2025 events and reproduce them in WEMSA 2025 educational, news, or promotional material, whether in print, electronic, or other media, including the websites. By participating in WEMSA 2025, you grant WEMSA the right to use your name, photograph, and biography for such purposes. All postings become the property of WEMSA. Postings may be displayed, distributed, or used by WEMSA for any purpose.
Furthermore, I acknowledge WEMSA’s right to crop, splice, treat, and edit any photographs taken of me at WEMSA 2025 at its sole discretion. I waive my right to inspect or approve the finished product, now and in the future, whether that use is known or unknown to me.
I hereby agree to release, defend, and hold harmless WEMSA and its agents or employees, including any company publishing and/or distributing the finished product in whole or in part, from and against any claims, damages or liability arising from or related to the use of the photographs, including but not limited to any misuse, distortion, blurring, alteration, optical illusion, or in the taking, processing, reduction, or production of the finished product, its publication, or distribution.

Companies that submit artwork or upload or link any material (including but not limited to images, text, documents, and/or video files) to the website are solely responsible for the content of such material and for gaining required permissions under copyright, trademark, trade secret, or other applicable law for the use of such material. (Caution: Many websites purchase artwork from stock photo suppliers for the expressed website use or from hired photographers who have only supplied one-time rights.) By submitting any such material, the submitting company represents and agrees that (i) it has obtained the necessary permissions referenced above, (ii) any such material is not likely to defame and does not invade the privacy of any person, and (iii) it will defend, indemnify, and hold harmless WEMSA 2025, its affiliates, and their respective directors, employees, and agents (including, without limitation, its publishing partners or any agent acting on its behalf) from and against any and all claims, damages, obligations, losses, liabilities, costs or debt, and expenses (including reasonable attorneys’ fees) resulting from the submitting company’s breach of the obligations set forth in this paragraph.

All EMS attendees and sponsors grant an irrevocable, world-wide, royalty-free right and license to WEMSA and their industry partners, sponsors and supporters to utilize, adapt, modify, reproduce, distribute, publicly perform and display any photographs, video and/or audio (collectively "Media") taken of me while attending any event or function at the EMS for use in promotional, educational, informational, advertising or commercial materials and communications in any form now known or later developed, including but not limited to publications, websites, articles, brochures, books, magazines, newsletters, exhibits, videos, films, social media, advertisements, and training programs (collectively "Materials"). Furthermore, I hereby authorize and consent to the use of my name, image, likeness and voice (collectively "Likeness") in the Media for all Materials or any other purposes deemed appropriate by WEMSA.
All EMS attendees and sponsors waive any right to be notified or to inspect or approve the Media or any Materials that are created using my Likeness, now or in the future, whether that use is known or unknown to me. I hereby waive any right to royalties or other compensation arising from or related to the use of the Media or Materials. I hereby release and hereby agree to indemnify and hold harmless WEMSA, EMS and their industry partners, sponsors and supporters for any and all claims that I or any third party may have now or in the future for invasion of privacy, right of publicity, copyright infringement, defamation, or any other cause of action arising out of the use, utilization, adaptation, modification, reproduction, distribution, public performance or display of my Likeness used in the Media and Materials. I understand and agree that WEMSA is and shall be the exclusive owner of all right title and interest, including any copyright, in the Media and Materials.
